IWPTT Minutes for March 12, 2015

  1. The meeting was called to order at 6:30pm by Co-President Kara Meents.
  2. Jen Kraft, Secretary, read the minutes from December 4, 2014 .

Treasurer’s Report

Kara read the Treasurer’s report. We have $3,164.29 in our PTT checking account. The following events contributed to this amount:

  1. T-Shirt/Sweatpants Sales – earned $750 profit
  2. Basketball Concessions – earned $1303.00 cost $379.31 profit $923.69
  3. Spring Movie Night – earned $920.25 cost $226.24 profit $694.01

OLD Business

  1. T-Shirt/Sweatpants Sales made good money. However, there were problems with the order. Kara suggested we do these sales earlier next year.
  2. Basketball Concessions – Patrick Grant thanked PTT and offered to let us do the same next year. Kara suggested that PTT consider selling at girls’ games as well. Jenni McTaggart agreed that there was a need and sales would go over well.

NEW Business

  1. Ford Drive 4 UR School – Kara applied in February with Watseka Ford for the High School Homecoming football game.
  2. Discussed possibly doing Pizza Palace Pizza Sales at the high school during lunch on sloppy joe days, but we would need a volunteer to sell. This would be an easy fundraiser for PTT to include the High School.
  3. Gustafson requested we come up with a Box Top promotion for GES & DES. This would go from April 1 to May 15. Brooke Wilms suggested putting the principal on the roof if the school met a goal. Mr. Harkins was fine with the idea. Mrs. Gustafson will look into the past totals to help set a new collection goal for each school. She also noted that Danforth Elementary may just end up having monster truck races at the end of the year as their reward. This event is already booked.
  4. Harkins suggested PTT look into having a dunk tank fundraiser at Super Saturday or Old Boys’.

APRIL: Spring Carnival Update – Jen Kraft reported that we’ve collected a lot of donations for the raffle table and are in a pretty good place. We do have a few monetary donations that have not been spent (mainly because Walmart donated 2 bikes!) that will be given directly to the carnival fund. Doc’s Drugs Color Sheet – Jamie Eden will let Kara know if Doc’s will do it again. Teacher Appreciation Meals – Trixie noted that we’re in good shape. A lot of parents signed up to help out when they registered their child for school so there were less spots to fill.

MAY: Walk-a-thon Dates: GES May 1st (May 5th Rain Date) DES Week of May 4th – 8th HS May12th (May 13th Rain Date). It was discussed that we may need volunteers to come to schools and count money collected. Students collecting $30 will get a T-Shirt (possibly ones that were printed on the incorrect shirts from T-Shirt Sales at Christmas time). Every $50 collected will get students a ticket to enter a drawing to win a Visa Gift Card or possibly a pool pass to the Onarga Pool. Brooke Wilms will contact Kira about the pool pass. An American Girl doll was also discussed as a potential prize for any of our events. Jenni McTaggart mentioned that if it has been 7 years since we qualified for a doll, we may be eligible again. Mom’s Night Out moved to Friday, May 29th at Inside Out in Gilman – $75 rental fee. Anything raised in ticket sales beyond that will be profit for the PTT. Tickets will be $10 ahead of time for $15 at the door. Volunteers are needed to sell tickets, provide water, appetizers, and desserts. Kara will send an e-mail out to members to sign up.

AUGUST: Registration Table – Kara suggested we do something to make PTT more noticeable at registration. Kara will e-mail Mr. Keigher about possibly moving our table into the gym. Also discussed having a drawing for a family pass to IW sporting events.   Also discussed raffling an American Girl doll in Raider wear at registration or Old Boys’ and including new member forms at the table.

SEPTEMBER: Open Houses – hand out new member forms. DATES: GES & DES October 8th, Middle School September 3rd, Thawville September 10th.


Kara suggested sponsoring 1 student per sport by donating a fee to the league. We will have to look into our By Laws. Trixie suggested donating to IW Post Prom. Discussion followed about who to donate to and where to draw the line beyond giving money equally to each school.

IWPTT Minutes for December 4, 2014

  1. The meeting was brought to order at 6:30pm by Kara Meents.
  2. Jen Kraft, Secretary, highlighted minutes from September 25, 2014.
  3. Jenny Leonard, Treasurer, reported that the PTT account had $1,147.17. However, we still need to pay Heather Frank for the apples and BBQ.

OLD Business

  1. Face-painting at IW Football Game raised $57.00. Noted that Caramel Apple sales didn’t net a profit.
  2. Parent/Teacher Conference Meals – GES, IWMS, and IWEUS sent Thank Yous.
  3. 188 students attended Movie Night. $769.95 collected. $644.45 profit.
  4. Family Reading Night concessions raised $141 profit.

NEW Business

December: Hoodie/T-Shirt/Sweatpants Sales – Costs were discussed on each item/Priced for Sale. Hoodie $16.50/$20.00, T-Shirt $12.50/$15, Sweatpants $18.00/$20. Iroquois Print designed the apparel. Orders need to be sent home as soon as possible to ensure delivery for Christmas. Order forms will be sent to DES, GES, UES, and MS. Iroquois Print will send Kara a PDF of forms. Goal is to send out the form on 12/05. Pick up date set for Monday, December 22nd from 4-6pm. All orders must be sent in by 12/10/14. No late orders will be accepted. Krissy mentioned that there is often a screen print charge. Kara said she would look into this. It was later confirmed that this cost is waived by Iroquois Print because we are an IW organization. Prices were also based on 25 pants and 30 shirts. Anything that is purchased over that will lower the price for the PTT.

January: Boys Youth Basketball Concessions at the Danforth Community Building – Two volunteers will be needed per event. Discussed having High School students possibly helping out to fill any openings at the end. Voted on and approved selling donuts, coffee, Gatorade, water, pop, hot dogs, pizza, and pretzels. Members present also discussed a Monical’s Pizza Fundraiser for January. For this fundraiser, a flyer will be sent home with students indicating the date and specifics. 20% of the total bill of families that present the flyer for that specific date will be raised. Kara will go on their website and make the needed arrangements.

February: Krispie Kreme Fundraiser. Send out note on February 16th for all students through middle school. Kara will go on their website and make the necessary arrangements.

March: Movie Night 03/06/15 from 6-8pm at the Middle School in Onarga.

April: Spring Carnival – Jen Kraft will be heading the Raffle Table. We discussed possibly changing the number of items on display, possibly including/replacing with baskets.   Members present also discussed the Doc’s Drugs Color Sheet Fundraiser and expressed an interest in doing it again this year. It was noted that money raised from last year’s contest may not have been collected yet. This will be looked into by Kara.

May: A third Movie Night was discussed, but there was concern that the month would be too busy to fit one in. This event will be put on hold. No date was set for the Walk-a-thon. Instead, it was noted that one date doesn’t look like it would be best for all schools (IWUES already held there event in the fall). PTT would be available to help as needed. Schools can contact IWPTT to line up volunteers, but PTT asks that each school organize other aspects of the event. Previous Walk-a-thon earnings were as follows: DES – $1464, GES – $3,164, MS – $2500 (Money was used to purchase a new projector, microscopes, Chromebooks for RtI, and items for the school store), HS – $1862. Mom’s Night Out set for Saturday, May 16th. Details will be discussed at a later date.

IWPTT Minutes for September 25, 2014

  1. The meeting was brought to order at 5:33pm.
  2. Jenny Leonard, Treasurer, reported that the PTT account had $1,641.47. $201.47 was allocated to purchase glowsticks for Movie Night and $1,640.00 was to be distributed evenly to each school. A total of $288.00 was set aside for each school. Discussed considering e-mailing schools to ask for proposals for funds/needs instead of evenly distributing. PTT will take a vote on this next year. Mr. Hawkins noted that DES spent their money on iPads and computer programs.
  3. Jen Kraft, Secretary, read minutes from May 14, 2014.
  4. Officers were elected for 2014/2015 school year. Krissy Rhodes and Kara Meents were elected Co-Chairs of the IWPTT. Jenny Leonard will continue her role as Treasurer and Jen Kraft will stay on as Secretary.
  5. Discussed committee sign ups and chairpersons for 2014/2015 events. Lisa McMillan will head Conference meals.
  6. Walk-A-Thon is not going to be headed by the PTT this fall due to time constraints. In the past, this served to be a good fundraiser and is likely to be run by the PTT in the future. Jenny Leonard suggested sending out info for a fall 2015 “Welcome Back Walk-A-Thon” with registration packets. Trixie Pankey also suggested sending membership forms with registration packets. Discussed possibly having students who raise a certain amount receive a t-shirt. Thawville is already doing their own walk/run this year because the PTT didn’t have enough volunteers to head it. Mr. Harkins suggested doing one in the spring. Filly Chavez mentioned that she would be interested in coordinating a future Walk-A-Thon with the help of KCC students from student activities, student councils, student boards, etc. She noted that these students are always seeking volunteer opportunities to give back and it would be a good fit because we already have a cooperative with KCC. It was decided that we would still try to set a date for a Walk in the spring. Possibly offering incentives for Top Sellers, such as iTunes gift cards.
  7. Discussed possible fundraising ideas. Kara Meents looked into multiple possibilities including:
    1. A Mom’s Night Out event at Inside Out in Gilman. Tickets would have to be sold in advance and the cost of each would be determined by the PTT.   A possible date would be October 18th, but there was concern that there wouldn’t be enough time to prepare.
    2. Iroquois Print would make “IW Mom” shirts and sell them to the PTT. PTT would then be able to set a new price for the shirts and sell them at local events.
    3. Krispy Kreme fundraiser – 50% profit. 25 dozen minimum must be sold. Volunteers would have to go to Bloomington for pick up. Application is online and order forms can be printed directly from the Krispy Kreme website.
    4. Ford Drive for Your School- PTT would receive $20/drive with a limit of $6,000. Discussed possibly hosting a drive during Old Boys.
    5. Sell cookies at games.
  8. Raelene Honeycutt suggested a Pay It Forward Auction
  9. Trixie suggested starting some social events for new moms/moms of kindergarteners to the district. Krissy suggested a Trunk or Treat.
  10. No date was set for Movie Night. Krissy will contact Mr. Ehmen for a few dates.
  11. Discussed whether or not we need volunteers to run concessions at Family Read Night. No decision was made.
  12. Discussed setting up a face painting table at IW Homecoming football game on Friday, October 3rd. Volunteers are needed.
  13. The next IWPTT meeting will be in November. The official date is TBD.

IWPTT Minutes for May 14, 2014

May 16, 2014
  1. The meeting was brought to order at 6:05 by Krissy Rhodes.
  2. Jen Kraft, Secretary, read the minutes from February 19, 2014.
  3. Treasurer’s report read by Krissy Rhodes. $260 will be given to each building, which is up from $225 last year. This will leave $341.47 for next year’s IWPTT start up.
  4. Jen Kraft reported on the school carnival raffle table organized by the PTT. No totals were given yet, but overall it went well. Items that went over well were noted for next year. Discussed whether or not to include 25 cent items next year, as they didn’t go over as well. Mrs. Deb Talbert suggested keeping a few for those students that only have few dollars to spend.
  5. Trixie Pankey headed Teacher Appreciation meals. Building principals sent out thanks for all of the great food. Teachers who attended tonight’s meeting also expressed their gratitude.
  6. There is still no chair yet for BoxTops. Those interested can contact Krissy or Raelene, Co-Chairs of IWPTT.
  7. Discussed finding volunteers for 2014/2015 School Registration. PTT is looking for volunteers to help with table set up, work a shift for event sign-ups, and to put together new teacher baskets. Also discussed putting together a couple of backpacks filled with school supplies and raffling them off at the table. Krissy will be sending out sign-ups via e-mail. Considered having BoxTops sign-ups at registration table for parents willing to help cut BoxTops.
  8. There were no correspondences from teachers, principals, or staff.  
  9. Krissy will check PTT e-mails this summer.
  10. The next IWPTT meeting will be held in September. Official date TBD.

IWPTT Minutes for February 19, 2014

  1. The meeting was brought to order at 6:05pm by Krissy Rhodes.
  2. No Treasurer’s report available.
  3. Jen Kraft, Secretary, read minutes from September 26, 2013.
  4. Krissy thanked Sara Pree for her efforts with recent Pom Pom sales.
  5. BoxTops Chair Jenni  McTaggart is stepping down.  PTT is seeking a new chair.  Those interested can contact Krissy or Raelene, Co-Chairs of IWPTT.
  6. BoxTops Totals are as follows:
    1. DES Spring 2013 $454.00 earned
    2. DES Christmas 2013 $469.50 earned
    3. DES Jan/Feb 2014 $45.00 earned
    4. GES Spring 2013 $643.20 earned

    7. Trixie Pankey suggested having a parent sign up in each classroom at the beginning of the year to be responsible for cutting class BoxTops. 
    8. Discussed assigning an e-mail checker for PTT e-mail to ensure all e-mails are promptly addressed.  Kara Meents volunteered to check until the end of February and Trixie Pankey offered to cover through the end of the school year.
    9. Our last Movie Night was a huge success!  Co-Chairs Kara Meents and Katie Fowler are looking for more volunteers for upcoming K-5th Grade Movie Night (Friday, February 28th 6-8pm at IWMS Gym).  A one call now will be sent requesting more volunteers.  Discussed possibility of having High School students/groups help out with chaperoning Movie Night event.  Krissy Rhodes was going to look into this.  Heather Frank will be in charge of concession candy and food.
    10. The PTT is collecting items and monetary donations for the raffle table at the upcoming school carnival (Friday, March 7th).  A sign-up sheet for working at the raffle table will be sent to all PTT members via e-mail.
    11. Trixie Boma spoke about the e-mails she will soon be sending regarding Teacher Appreciation Week.
    12. The next IWPTT meeting will be in April.  Official date TBD.

IWPTT Minutes for September 26, 2013

  1.  The meeting was brought to order at 6:35pm by Heather Frank, Co-Chair of the IWPTT.
  2. Heather noted that she and her Co-Chair, Stacy Reed will no longer be leading the PTT as Co-Chairs.  Raelene Honeycutt and Krissy Rhodes volunteered to fill the Co-Chair positions.
  3. Secretary was filled by Jen Kraft.  Former Secretary, Bonnie Bloomquist, resigned from the position at the end of the 2012-2013 school year.
  4. There will only be one fall PTT meeting, as committee meetings will replace formal meetings.
  5. The previous minutes from April 4, 2013 were read by Co-Chair Stacy Reed.
  6. Treasury balance is $450.65.  Some of this money will be used to pay for a few prizes for the upcoming Walk-A-Thon on October 23rd at 2pm at each school.  Rain Date will be October 30th.

  1. There will not be any basket raffles this year at Open House.  It was noted that more money was raised from other IWPTT fundraisers.
  2. Mr. Harkins was at the meeting and encouraged ALL to follow IW on Twitter.  Go to iwest.k12.il.us to see what administrators are tweeting.  Mr. Keigher added that it gives you a conversation to have with your child.  Mr. Harkins also mentioned that CAMP 911 was a big hit for 2nd and 3rd graders.  Thanks to ALL volunteers.
  3. Thawville is looking for VOLUNTEERS.  Look for a mass e-mail about this opportunity from the IWPTT.
  4. The meeting was adjourned by Heather Frank at 7:30pm.
  5. Box Tops Committee met after the meeting to discuss promotions.

IW is planning a Walk a Thon!!!

IW is planning a Walk a Thon!!!

All parents/guardians should have received information in the last few days from your child about the IW Walk a Thon that is planned during school on Wed. May 1st. (This is not the same as the Raider Run planned for May 18th for the community). This is a district wide event from Pre K- 12th grade. We are hoping for a great response from this to aid in our district’s technology program. With cuts being made every year, we do not want our kids to get behind in our ever changing world of technology due to lack of funding. We are hoping to give our district help in funding the technology that is needed for our students to continue to compete in today’s world. Please help us by getting pledges to make this a huge success for out district. All money raised will go back to your child’s school to be used for their technology program.
